General Terms and Conditions
1 Subject matter of the contract
These General Terms and Conditions govern the legal relationship between you and Hotel Sedartis. They are based on the reservation/order confirmation or the offer signed by you for confirmation.
2 Option dates
Option dates (offers, order confirmations, etc.) are binding for both parties. Hotel Sedartis may automatically dispose of the reserved premises/rooms after expiry of the option period.
3 Cancellation
3.1 Cancellation or partial cancellation of seminars
Cancellations must be notified in writing. If the reservation is canceled in full through no fault of our own, the following cancellation costs are due:
– Cancellation 0 – 7 days before the event: 100%
– Cancellation 8 – 14 days before the event: 75%
– Cancellation 15 – 30 days before the event: 50%
– Cancellation 31 – 60 days before the event: 25%
Partial cancellation
We kindly ask you to inform us in writing of any significant changes to your reservation.
Participant numbers with a deviation of 20% of the total number of participants can be adjusted free of charge up to 3 days before the event.
Partial cancellations and adjustments can be reported free of charge up to 15 days before the event. The following costs will be charged thereafter:
– Partial cancellations 2 – 0 days before the event: 100%
– Partial cancellations 15 – 3 days before the event: 50%
Participant numbers with a deviation of 20% of the total number of participants can be adjusted free of charge up to 3 days before the event. Later adjustments will be charged at 100%.
3.2 Cancellation or adjustments to aperitifs & banquets
Cancellations must be notified in writing. If the reservation is canceled in full through no fault of our own, a cancellation fee will be charged:
The cancellation fee includes all agreed services such as room rental, technical infrastructure, third-party services, aperitif (flat rate of CHF 40.00 per registered guest) and dinner (flat rate of CHF 100.00 per registered guest):
– Cancellation 0 – 7 days before the event: 100%
– Cancellation 8 – 14 days before the event: 75%
– Cancellation 15 – 30 days before the event: 50%
– Cancellation 31 – 60 days before the event: 25%
Adjustments
We kindly ask you to inform us in writing of any significant changes to your reservation.
Participant numbers with a deviation of 20% of the total number of participants can be adjusted free of charge up to 3 days before the event. Later adjustments will be charged at 100%.
3.3 Cancellation or partial cancellation of weddings
Cancellations must be notified in writing. If the reservation is canceled in its entirety through no fault of our own, the following cancellation costs are due:
– 1. deposit over CHF 2,000.00 is non-refundable
Furthermore, as of the following date, all other agreed services (flat rates, room and space rental, F&B costs, chair rental and third-party services, etc.) will be charged as follows, less the CHF 2,000.00 already specified:
– Cancellation 0 – 7 days before the event: 100%
– Cancellation 8 – 14 days before the event: 75%
– Cancellation 15 – 30 days before the event: 50%
– Cancellation 31 – 60 days before the event: 25%

3.4 Cancellation of individual room reservations
If you have reserved a room without having guaranteed the reservation by means of an advance payment, a credit card or a company, we will keep the room available for you until 4 p.m. on the day of arrival. If you do not show up by 4 p.m., Hotel Sedartis can automatically dispose of the room(s).
If your reservation is guaranteed, your room will be kept free for you even after 4 pm.
Cancellation free of charge is possible until 4 p.m. at the latest on the day before your arrival. In the event of a late cancellation, no-show or late arrival, the first night of your reservation will be charged at 100% of the agreed room rate. In the event of early departure, the hotel must be notified by 4 p.m. the day before at the latest.
Reservations made via the Online Booking Engine are subject to the terms and conditions for reservations and cancellations.
3.5 Cancellation of group reservations for rooms
The following applies to cancellations of 8 or more rooms for groups of 8 to 19 rooms:
– 0 – 7 days in advance: 100%
– 8 – 14 days in advance: 75%
– 15 – 30 days in advance: 30%
Individual room cancellations from three days before arrival will incur a 100% cancellation fee.
The following applies to cancellations of 8 rooms or more for groups of 20 rooms or more:
– 0 – 14 days in advance: 100% of the lost room revenue
– 15 – 30 days in advance: 75% of the lost room revenue
– 31 – 60 days in advance: 30% of the lost room revenue
Individual room cancellations from three days before arrival will result in 100% cancellation costs.
3.6 Cancellation of table reservations in our restaurant
You can cancel your table reservation at any time free of charge. For reservations of 6 persons or more, a credit card is required as a guarantee. In the event of a no-show, you will be charged CHF 30.00 per person on the credit card on file.
4 Terms of payment
We reserve the right to demand advance payment in whole or in part for room reservations and events.
We require an advance payment for events. This amounts to at least CHF 80.00 x the number of registered guests and the hall rental and is due two months before the date of the event.
For events with a billing address abroad, we require a 100% advance payment.
We require two advance payments for weddings:
The first advance payment of CHF 2,000 is due with the signed reconfirmation. This advance payment is considered a definitive room booking and is non-refundable.
We will invoice you for the second advance payment two months before your party.
– For the wedding package, this is the price of the package x 90% of the number of registered guests.
– For individual weddings, this amounts to the fixed services such as room rental, 2 hours midnight surcharge, chair boxes as well as the menu price & a beverage flat rate (CHF 40.00) x number of registered guests.
Unless otherwise agreed, we will invoice the expenses incurred following the event or arrangement. You can pay the invoice on site or within 15 days of the invoice date.
Invoices for events with a turnover of less than CHF 300 are to be paid by the organizer directly on site.
5 Further provisions
5.1 Damage
The customer shall be liable to the Hotel Sedartis for damage and loss caused by him or his assistants or participants, without the Hotel Sedartis having to prove fault. Hotel Sedartis accepts no liability for theft of or damage to materials brought in by the organizer, participants, speakers or third parties.
5.2 Withdrawal by the hotel
In special cases, the hotel reserves the right to return the booked rooms and premises. The hotel is entitled to withdraw from the contract for a materially justified reason,
– if force majeure or other circumstances for which the hotel is not responsible make it impossible to fulfil the contract.
– events and/or services have been booked with misleading or false statements of material facts.
– the hotel has reasonable grounds to believe that the event and/or the provision of services may jeopardize the smooth operation, security or public reputation of the hotel, without this being attributable to the hotel’s organizational area.
In the event of justified withdrawal by the hotel, the customer shall not be entitled to compensation.
5.3 Fireworks
It is not permitted to use fireworks, sky lanterns or similar objects on the hotel premises for festive occasions, weddings or other events.
5.4 Food and beverages
All food and beverages must be purchased exclusively from the hotel.
In special cases, a written agreement to the contrary may be made. In such cases, the hotel is entitled to charge a service fee or corkage fee.
5.5 Lost property
Lost property will only be forwarded at the request, risk and expense of the guest. Otherwise, the items will be used after a 12-month retention period. The hotel shall not be liable for loss or damage to the forwarded item by the post office or if it does not arrive on time.
5.6 Security
We would like to point out that some public areas are under video surveillance for your safety.
5.7 Underage guests
Guests under the age of 18 who wish to occupy a hotel room alone are required to present a written declaration of consent from a parent or guardian at check-in. An overnight stay is not possible without this declaration.
5.8 Copyright fees
The customer (hirer) of our seminar and event premises acknowledges that any copyright fees that arise and may arise from his event are to be compensated solely by him (e.g. SUISA).
5.9 Applicable law, place of jurisdiction
The legal relationship between you and Hotel Sedartis is governed by Swiss law. The invalidity of individual provisions of the contractual relationship shall not render the entire contract invalid. Zurich is agreed as the place of jurisdiction, whereby the Hotel Sedartis is free to take legal action at the defendant’s place of residence.
